Your Website
Your website is a reflection of your business, an investment where you have spent time and resources to present a consistent message and professional presentation. Look at your business card or promotional brochures; your contact information is clearly visible - don't forget your website address!

Why is it then that many websites make it difficult for potential customers to contact the sales force? Even worse, many companies fail to respond to customers in a timely manner. Losing leads means losing sales - and very few companies enjoy losing prospects.

Have A Good Contact Us Page
First of all, make it easy for your visitors to find your Contact Us page. Count the number of clicks from any page on your site to your contact information. If you counted more than one you may have just lost a lead; it may be time to reconsider your site structure.

Phone numbers, addresses, names of key personnel, email addresses - are all part of a strategic communication policy in building your online community. Yet managing this information, and ensuring the right person gets the right information at the right time, becomes a challenge.

Have a Contact Form
We've come a long way from the days of relying on the toner in your fax machine to generate sales. Web-based forms (webforms) are simple web pages that interact with your customer relationship management (CRM) system - capturing not only names and phone numbers - but also critical information that will assist your team in processing requests direct from your website.

For example, John Browser sends an email and your account manager is on holiday. How does anyone else know that a request has not been answered? This lead will not be answered and the opportunity may be lost.

Ask For What You Need
Your customer is more than willing to let you know what they require. Offering a structured intake process will enhance the business intelligence you gather.

Place a simple drop down menu in your webform:

  • Select products or services
  • How many items do you want?
  • Would you like to book an appointment?
  • What type of problem are you encountering?
  • Register a user to download additional material

All this and more can be managed through a form on the web. Once submitted to your CRM database, it is possible to send alerts to individuals or groups of indviduals and assign the request to a primary team member.

It is now possible to monitor the sales cycle ensuring quality assurance with better results than your Widget Department's email account.

Make sure that you do. Leveraging a CRM system that not only captures and stores your customer information and also kick starts your work flow - will save you time, money and improve customer service.

Method 1 - Web Programmer
In the past, most companies have had to rely on a technical person to enable forms. You might need another person to then program your database to accept the information and don't forget your webmistress to then publish it to the web. This can be quite costly and time consuming.
